Running the office day to day

Once the roster is live, the office runs on a small number of screens. This is the daily loop.

The dashboard

First thing in the morning it answers the three standing questions: who is on site now, which shifts in the next fortnight are still unfilled, and what's expiring soon. Clear the unfilled list, chase the expiries, get on with the day. Most mornings that's ten minutes.

The request queue

Two streams land in one place: shift requests your clients have raised, and open shifts your workers have registered interest in. Each one is an allocation decision, and every allocation passes the compliance check before it sticks. A blocked allocation isn't an error to fight, it's the system telling you which gap to fix or who to pick instead.

Notices

Short messages that reach your people where they already are: policy changes, wet-weather calls, reminders. Post it once instead of ringing around, and keep the longer detail for email.

Your admin team

More than one person can run the office, and should. Administrators are added by name and email, set their own passwords, and can reset access for anyone locked out. A second administrator means a sick day never locks the roster.

The audit trail

Every change in your organisation is recorded: what changed, who did it, when. Most days you never look at it. The day a client asks why a shift moved, or an auditor asks who verified a certificate, it's the difference between an answer and an argument.
